I'm looking for your best tips and tricks to manage the barrage of emails that you get at work on a daily/nightly basis. I think I do a good job staying on top of things, but with the advent of AI there has to be a better way to stay on top of things.
Here's what I'm currently doing and what I'm working with:
Here's what I'm currently doing and what I'm working with:
- Microsoft Office 365 Suite (Outlook 365 web-based for emails)
- Microsoft Tasks - Treat this as my daily or weekly to-do list and have the panel open in Outlook so it's always visible.
- I have dozens of Folders because I don't like my Inbox cluttered. I move emails to Folder only after I have read it and followed up with whatever action is needed.
- I have Rules set up for emails that are mostly just FYI and don't require any action on my part. The rules mostly include "mark as read" and then "move to folder."
- I have Quick Steps set up for my most used Folders to quickly move emails into them.
- Use AI to streamline some of the email and tasks within those emails.
- Our IT department has our system on lock down, so adding programs/apps isn't possible. However, we are a Microsoft district and I'm seeing CoPilot starting to be embedded in some of our apps but not yet functional. For example, CoPilot has a button in PowerBi, but it's not "turned on" yet.
- Set up Rules that will deal with those benign emails that don't need any action without accidentally deleting or moving an email that needed a response.
- Anything that will make the management of emails simpler.
